MINIMUM QUALIFICATIONS: Must have a minimum of three years experience in hospitality or a related field. Must also have a minimum of one year supervisory experience with the ability to provide and maintain effective working relationship with subordinate employees, higher-level officials and others. Must be able to exercise tact, communicate orally and in writing, and function effectively under stress. Must be able to apply hotel methods and hotel purchasing and budget preparation. This is a white-collar position where occasional lifting up to 20 lbs may be required. Ability to operate a personal computer.
SUMMARY OF DUTIES: Responsible for the efficient operation of Transient Quarters front desk operation, desk clerk cash management, cash accounting paperwork, cash bank deposits, customer records management, reservations, beverage sales and related cash collection of bad debts, and room relocation problems. Responsible for assignment of rooms. Works with Protocol on VIP reservations. Plans, organizes and coordinates work, directspeople and evaluates frontdesk operations, which include reservations, registration, and cashieroperations. Forecasts room availability; prepares occupancy ratios and conducts room revenue analysis. Maintains accurate data of guest information. Tracks and monitors financial transactions and account balances. Monitors guest credit charges, unpaid account balances and collects on delinquent accounts. Maintains and balances daily account transactions with MCCS Accounting personnel. Researches and corrects discrepancies. Maintains account integrity and supporting documentation for internal control purposes. Controls sundry inventory. Maintains housekeeping log for additional daily assignments. Responsible for change fund. Supervises employees to include: assigning and distributing work, coaching, counseling, tutoring, and mentoring employees; approving and disapproving leave, recommending and completing personnel actions, completing performance reviews and signing timecards, training employees, keeping abreast of and actively supporting the principles of the EEO program, and prevention of sexual harassment. Responsible for all training of new employees and conducts on the job training, including operation of Epitome Data System. Answers telephone or operates telephone system. Must be alert to alcohol abuse, and take appropriate action. Performs full range of desk clerk duties. Creates reservation record; registers guest; assigns room and key card. Calculates and posts all charges to guest's account, presents statement, collects payment and maintains records on a Personal Computer. Relays messages to guests. Receives, sorts and distributes mail. Advises manager of any maintenance or guest problems. Calls emergency maintenance if warranted. Sells retail merchandise. Rents video equipment and tapes. Answers questions about location of activities and tourist attractions in the immediate area. Is the manager on duty in the absence of the Transient Quarters Manager. Maintains log books for base maintenance, preventive maintenance controls and monitors log cabin reservations. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Develops and ensures implementation of an activity safety program in accordance with the Base Safety Program. Conducts safety meetings at least quarterly. Advise employees of available safety regulations, instructions, materials and equipment. Promptly reports workplace accidents to the Human Resources Office. Ensures safety training is provided to employees. Complies with OSHA standards and takes action to correct unsafe or unhealthy working conditions. Ensures employees understand safety infractions that can result in disciplinary actions, and follows through with appropriate action. Ensures minimal loss of duty by complying with "Return To Work" program initiatives, and following up on employee well being. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other duties as assigned.
