This Supervisory Medical Support Assistant (SMSA) position is in the Clinical Practice Management (CPM) Service of the Central Arkansas Veterans Healthcare System (CAVHS) located in Little Rock, Arkansas.
Basic Requirements: 1. United States Citizenship. Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. 2. English Language Proficiency. Medical Support Assistants must be proficient in spoken and written English in accordance with VA Policy. 3. Experience and Education: Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education: One year above high school; OR, Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. 4. English Language Proficiency. Medical Support Assistants must be proficient in spoken and written English in accordance with VA Policy. Supervisory Medical Support Assistant, GS-07 Experience: One year of experience equivalent to the GS-06 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Demonstrated Knowledge, Skills, and Abilities: Candidates must demonstrate all of the KSAs below: Ability to provide the full range of administrative and supervisory duties in a patient support setting, which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training related to administrative functions in a patient support setting. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities. Preferred Experience: Experience scheduling appointments. Excellent customer service skills. Experience Maneuvering CPRS, VISTA GUI, and VISTA. Pulls Consult Reports for Pending, Active, and Scheduled. Experience on the ACD line. Must be able to multitask. Demonstrates knowledge of clinic management. Assures accuracy in appointment management, clinic utilization, clinic access, and the coordination of all administrative information between the professional staff and the patient. Able to confidently and competently train scheduling staff. Has a vast knowledge of national and local scheduling policies and SOPs. Work Environment: Work is performed in an office/clinic setting with minimal risks that requires normal safety precautions; the area is adequately lighted, heated, and ventilated. However, the work environment requires someone with the ability to handle several tasks at once in sometimes stressful situations.

McClellan and Eugene Towbin Campuses that provide coverage to specialty service clinic operations for scheduling appointments and managing veteran appointment access. The primary duties of the Supervisory Medical Support Assistant may include but are not limited to: Responsible for the administrative and personnel management function relative to staff supervised. Establishes guidelines and performance expectations for staff, which are clearly communicated through the formal employee performance management system. Observes workers' performance; demonstrates and conducts work performance critiques/ audits. Provides informal and formal feedback and periodically evaluates employee performance. Resolves informal complaints and grievances. Develops work improvement plans, recommending personnel actions as necessary. Provides advice and counsel to workers related to work and administrative matters. Effects disciplinary measures, as appropriate to the authority delegated in this area. Reviews and approves or disapproves leave requests. Ensures that subordinates are trained and fully comply with the provisions of the safety regulations. Provides the effective selection, training, and utilization of assigned staff as well as serving as the subject matter expert to all medical clerks. Coordinates schedules and assignments with ward supervisory staff and Lead Medical Clerks and makes adjustments as needed. Provides input to Chief of Staff or designee on the performance of medical clerks on the units. Serves on Medical Center Committees as needed. Prepares various reports in area of expertise. Supervises a staff of employees to accomplish the work of the organizational unit. Exercises supervisory authorities and responsibilities involving work assignment and review, as well as the administrative and personnel management functions relative to the staff supervised. Work Schedule: Monday-Friday, 8:00am-4:30pm CST, schedule will be discussed during the interview process and is subject to change based on Agency needs.
