Job Description:

The incumbent serves as an Advanced Medical Support Assistant (AMSA) (GS-0679-06) for the Geriatric - Community Based Extended Care Programs (CBEC) within Social Work Service. The primary responsibility is to provide administrative and clerical support for the geriatric programs and staff within Social Work Service, including the Contract Nursing Home (CNH), Medical Foster Home, and Geriatric Resources for Assessment and Care of Elders (GRACE) Programs.
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education. One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations:GS6-Advanced Medical Support Assistant In addition to the basic requirements, applicants must possess: Experience. One year of experience equivalent to the GS-5 (Full performance level) grade level. Demonstrated Knowledge, Skills, and Abilities (KSAs). Candidates must demonstrate, in their resume, all of the KSAs below: i. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. ii. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. iii. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. iv. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. v. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. vi. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work.

Knowledge and ability to utilize VA scheduling software including RMS and Virtual Care Manager in establishing patient appointments within the appropriate desired date. Adheres to GRACE program protocol on patient outreach attempts and ensures appointments entered in RMS are accurately reflected in CPRS. GRACE Appointments are cancelled/rescheduled according to established protocols and informational note is entered in CPRS. GRACE Patients receive a call 24-hours in advance and are reminded of scheduled appointments. Verifies and updates demographic and eligibility information in computer systems Administration and Reports: Scans documents in to the patient electronic record in a timely manner Performs RMS upgrades and provides profile updates. h. Monitors and maintains the PCMM (Patient Centered Management Module) list. Participates in scheduling/phone audits and reviews to ensure effective scheduling practices. Processes CNH Therapy Requests Assists in the update, development, and maintenance of program materials, packets, and other printed materials. Assists with the orientation/on the job training of new staff. Completes work orders and contacts appropriate staff when requested to support the environment of care. Data and Records Management: The incumbent is responsible for collecting, compiling and/or tracking statistical information in support of program operations. The incumbent receives and processes documents and reports in accordance with established procedures; uses software applications to draw information from a wide variety of sources in order to prepare reports; assists in the planning, review and reporting of data/statistical results of program studies. The incumbent retrieves a variety of computerized data, establishes protocols for incoming data, and organizes and maintains both patient and program data.
